A system that saves hours and speeds up content production

What a Media Library Is and Why You Need One

A media library is an organized archive of all the visual and audio elements you use, or may use, for videos:

  • Intros and outros
  • Music and sounds
  • Thumbnail templates
  • Graphics and icons
  • B-roll (extra footage)
  • Screenshots and slides
  • Photos, quotes, interview clips

The more videos you release, the more important a media library becomes. Without one, every video has to be made from scratch, even if the materials already existed.

Mistakes That Hold Growth Back

  • Files lie in different folders
  • Materials aren’t labeled or sorted
  • It’s impossible to quickly find the right clip
  • Nobody on the team understands where things are
  • Brand style elements and past work get lost

The result: lost time, duplicated work and lower video quality.

How to Build a Media Library, Step by Step

1. Create a Clear Storage Structure

An example structure:

/YouTube Media Base

/Intros and Outros

/Music and Sounds

/B-roll

/Graphics and Templates

/Quotes and Slides

/Thumbnails

/Footage of interviews and shoots

The main thing is that any new team member can figure it out in 2 minutes. I compare this principle of organizing a team to Wikipedia and other projects built on a wiki engine.

2. Choose Storage: Cloud and Offline

I recommend:

  • Google Drive / Dropbox / Notion for teamwork
  • A hard drive / SSD as a backup and an offline archive

It is advisable to duplicate materials: the cloud + physical storage.

3. Label and Sort Everything

Not “File_video_1.mov,” but:

/B-roll/Street/2024_May_Moscow_day.mov

Add tags or comments so you can find things by keyword. I recommend taking a course on document management to better understand intuitively how to do this in a way that works for you.

In Notion, Airtable or Google Sheets, build a database:

Name: Intro 2024

Category: Video intro

Link: [link]

Format: .mov

Used where: All videos since May

This will save you dozens of hours in the future.

5. Add Templates to Speed Up Editing

Collect:

  • Intros / outros
  • A thumbnail template
  • Ready-made UI elements
  • Color palettes and fonts
  • Scripts and scenarios

This is especially important when delegating or increasing the pace of publishing.

How to Keep the Media Library Up to Date

  • Update it every week (new materials go into folders)
  • Do a review once a month (remove duplicates and junk)
  • Use the same naming and style of formatting
  • Build the media library into the process: upload right after shooting
